Signing up & logging in
Signup says my VA accreditation couldn't be verified. What do I do?
VCH checks your accreditation against the VA's Office of General Counsel records when you sign up. If it can't make an automatic match (for example, if you were accredited very recently), contact support with your accreditation number and POA code and we'll verify it by hand.
My two-factor code hasn't arrived, or it says the code is invalid.
Code emails can occasionally take a few minutes to arrive, so check your spam or junk folder before requesting another. Codes expire after 10 minutes, and requesting a new one replaces the old one, so only the most recent code will work. Some email apps tuck newer messages from the same sender under the first one. You can also skip typing the code by clicking the sign-in button in the email. Too many wrong codes will lock the account; if that happens, contact support with your username.
Can I use VCH from a VA network computer or VPN?
Yes.
Is there training on how to use VCH?
Start with the documentation, which walks through cases, forms, and submissions. Support is available by email, and we're happy to set up a quick screen-share if you'd like to walk through your workflow together.
Billing & subscriptions
How do I add another user to my account?
Plans are priced by number of users: Professional covers 1 user, Small Team 2–5, Large Team 6–10, and Enterprise Team 11–30. To move up a tier, go to Admin → Billing → Manage Subscription. See pricing for details.
I updated my card but the old one is still being charged.
Go to Admin → Billing and make sure the card you want is set as the default payment method. If it still isn't right, contact support with the last four digits of the card you want to use and we'll fix it.
How is C-File AI Analysis billed?
It's billed per C-File, separately from your monthly subscription: $10 covers up to 6,500 pages, and larger files are $3 per additional 1,000 pages. The total is shown before processing. If a usage charge is declined, update your card under Admin → Billing.
How do I cancel?
All plans are month-to-month. Go to Admin → Billing → Manage Subscription and choose Cancel Subscription, or contact support and we'll take care of it.
Forms & signatures
The form I need isn't in VCH. Can you add it?
Usually, yes. Send us the form number and we'll add it. Most requests are turned around quickly. Check Supported Forms first, and try searching by form number (for example, 21P-534) since some forms go by more than one name.
Can I use my own fee agreement or letterhead?
Yes. Send us your fee agreement or letterhead and we'll set it up for your firm. It will then appear alongside the standard forms under Generate Form.
My text doesn't fit in a form field.
Some forms have adjustable font sizes under Admin → Form Settings. If the form you're working on doesn't, let us know which form and field and we'll adjust it.
The VA says my documents weren't signed.
VA reviewers sometimes reject signatures that are faint, small, or look like a scribble. Sign in dark ink on plain white paper, scan it at good quality, and upload it under Admin → Veteran Representatives, or send the scan to support and we'll clean it up for you.
How do I add another attorney or agent to our forms?
Add them under Admin → Veteran Representatives. They'll then appear in the Veteran Representative dropdown on each case. Forms use your firm's address for every representative.
Submitting to the VA
VCH shows my document reached VBMS, but the VA can't find it.
That status means the VA accepted the upload and routed it to VBMS. It can still take time to show up on the VA's side. VA support has told users this can take up to 30 days. A “late document” notice means the VA hasn't processed it yet. If something looks wrong, contact support with the case and document and we'll raise it with the VA.
I edited a form, but the VA received the old version.
VCH submits the PDF exactly as it was saved at the moment of submission. After editing a form, always click Save before submitting, and reopen the PDF to confirm your changes are there.
Can I stop a submission after sending it?
No. Once a document is sent it goes straight to the VA and can't be recalled. If something was sent in error, file a corrected or withdrawal form with the VA.
Do I need my own VBMS access to submit?
No. You can submit documents from VCH without it. Once you do have VBMS access, you'll be able to see the documents you've submitted there.
Can VCH send forms that the VA doesn't accept electronically?
Forms like the SF-180 have to go to an agency by mail. VCH can still fill them in; generate the form, print it, and mail it to the address printed on the form.
C-Files & AI Analysis
What reports does C-File AI Analysis produce?
Alongside the main analysis of potential claims and evidence, a completed C-File includes a case timeline, a Steps Needed Report, and a Medical Visit Report summarizing each visit and the conditions discussed. Open them from the completed C-File page.
Cases & clients
How do I delete a case?
Open the case details page, scroll to the bottom, and click Delete. This works for archived cases too.
A client was entered twice. Can I merge the cases?
Not at the moment. Delete the duplicate and keep the case you want to continue working in.
Can I export my client list?
Yes. Admin → Export Cases downloads all of your cases as an Excel spreadsheet.
Can I share a case with a partner firm or medical provider?
Yes. See how to share cases and documents with a partner firm. The other party needs their own VCH account first.
Integrations
Does VCH have an API?
Yes. Firms can request access from the API Access section in Admin. The API covers what you can do in the app, including cases, documents, and form generation, except AI features and submitting documents to the VA. Contact us for documentation.
Does VCH work with Clio?
Yes, importing from Clio Manage is supported. Connect your account under Admin → Clio. To bring over fields like SSN and service information, set them up as custom fields on the contact in Clio, map them in VCH, and then import.
